Istiana Lessons
Tutoring management system for a lessons institute.
01The challenge
A private tutoring institute runs on moving parts: enrolments, learning contracts with session quotas, teacher schedules, invoices, attendance, session reports, and parents who want to see progress. Run through spreadsheets and chat threads, things fall through the cracks — sessions get missed, reports go unwritten, bills go unseen.
02What I built
One management system with three portals. Admins run contracts, packages, invoices, and payments from a single dashboard. A schedule generator builds each contract's session calendar from its weekly pattern and quota, reports clashes and replaces them instead of silently dropping sessions, and paid contract extensions add their sessions in place once the extension invoice settles. Teachers see only their own students, attendance, and reports; parents get bill banners, remaining-session counts, attendance history, and only the session reports that have been reviewed.
03The outcome
The institute's daily operations run inside the system — enrolment to invoice to schedule to attendance to parent reporting — with each role seeing exactly its own data and nothing else's. Follow-ups that used to depend on memory, like sessions held without a report, are now listed for the admin to chase.
